Date: January 23rd, 2014
In case there are more than one person involved in shop management procedures, you might be interested in the possibility to grant people you are working with appropriate permissions to enter VirtueMart data. It will not only help you to better organize work by tasks allocation, but also in case of some faulties, you will definitely know who was in charge and had access to this or that section of your shop.
For the mentioned purposes there is available Access management functionality in Store Manager for VirtueMart. It allows you to create special roles with access only to predefined data sections and then assign to the roles personnel working with separate login details.
Let’s have a closer look on the process and see how it works.
All VirtueMart access control actions are available in Store Manager in the drop-down appearing after clicking small padlock button at the top top of the application.
Users and Permissions
After clicking on this option you will see the message informing you that its usage will result in creation of new table in your database that will contain the information on roles you create and accounts you assign to them. Do not worry, it is safe for your current data and won’t negatively affect your database. It is required for VirtueMart access management enabling, so click “Yes” to continue.
Then you will see new window with 2 tabs - Users and Roles.
Let’s start from Roles creation first and assigning access permissions to them. This is especially useful when you need to assign the same role with identical rights to a few employees.
You need to indicate the name of the role, uncheck box with administrator rights and indicate which data sections will be available for indicated role.
For example, you are store owner and you are also working with a few employees. Some of them are adding new goods, updating inventory, other ones creating coupons for more sales, and there are also the ones whose responsibilities are secure data safety by performing backups from time to time.
In this case, beside of Administrator role with all rights can (for you), you might also need to create roles other roles. Let’s say, Content Managers with permissions to view or/and modify lets say sections responsible for products import/export, product&categories appending, manufacturers, custom fields and media files; Account Managers can have access to coupons section, customers and e-mails section; other assistants can make or restore backups for ensuring that data are safe.
These are only a few examples of roles and permissions that can be granted, so you can create your own depending on needs you have.
Next you need to assign Users to created roles. It is possible in the tab “Users”. Basically there you create login details and assign customer group to account. Then you can provide username and pass and person that will use them to log in to the application at its start.
These buttons allow to enter or exit particular managing account without restarting the application. For example, when working with database from the same computer Account Manager can log into it after Content Manager (or any other person with access) logs out.
This option allows you to disable VirtueMart access management and remove all roles (beside of administrator access) and user accounts assigned to them.
VirtueMart access control option is indispensable for shop that is managed by more than one person. Make your online business more secure assigning employees particular access permissions.
